How to Create a Payment Receipt
A receipt is the customer's proof of payment and your protection against 'I already paid' confusion. Every payment your business receives deserves one — cash especially. This guide makes a proper receipt in under a minute: who paid, how much, for what, and when, on a clean PDF with your business name on it.
Step by step
- Open the Receipt Generator and enter your business name and details.
- Fill in Received from (the payer's name), the date, and the amount received.
- Describe what the payment was for and note the method (cash, card, transfer).
- Download the PDF and hand or send it to the customer.

Tips for better results
- Issue receipts for cash payments immediately — memory fades, paper does not.
- Reference the invoice number the payment settles ('for Invoice 1042') so your records connect.
- Keep your own copy with the Payment Tracker so receipts and records always agree.
Frequently asked questions
Receipt vs invoice — which do I send?
An invoice asks for payment (sent before or at delivery); a receipt proves payment (sent after the money arrives). Many jobs need both, in that order.
What should a receipt show?
Your business name, the payer, the date, the amount, what it paid for, and the payment method. A receipt number helps filing.
Do I need receipts for card payments too?
The card network gives the customer a record, but your own branded receipt is still good practice and settles disputes fast.
